Using Namely's Org Chart
A guide to using Namely's new Org Chart (currently in beta).
OVERVIEW
A comprehensive but easy to navigate org chart is a critical tool for any organization, and has become especially important as more and more of the workforce logs on from a remote environment. A well-designed org chart can:
-
Help new and existing employees understand their and others' place in the company hierarchy
-
Allow executives to better visualize resource allocation and leadership structure in presentations
-
Support HR administrators as they manage company growth and staffing
Namely's newly redesigned Org Chart can do all that and more, offering a horizontal layout, expand and collapse capabilities, and the ability to zero in on a specific employee's position in the company's reporting structure.
HOW TO ACCESS
Companies using Namely's Org Chart can access it by going to People > Org Chart from the top navigation menu.
-
If you are not currently using Namely's Org Chart, you can contact our Service team to have it enabled on your site.
An employee's view of the Org Chart—ie: which co-workers they can see and not see in the reporting structure—is determined by that employee's access role and permissions.
The scoped Ability: User See permission provides an access role with the ability to see another user's profile in Namely, and also their place in the Org Chart.
-
If the Ability: User See permission is set to All, for example, users assigned to that access role will be able to see all other employees' profiles and locations in the Org Chart.
-
If the Ability: User See permission is set to Same Department, users assigned to that access role will only be able to see the profiles and Org Chart positions of employees in their same department.
If you need to hide specific users from the Org Chart—such as contractors, profiles created for integrations partners, or other third party access profiles, you can add them as an exception to the rules set on the Ability: User See permission for all access roles.
Administrators can update an access role's permissions by going to Company > Settings > Roles & Permissions
NAVIGATING THE ORG CHART
Namely's Org Chart is made up of individual employee cards. Each card includes an employee's:
-
Profile picture
-
Preferred first and last names
-
Title
-
Department (if an employee does not have a department assigned, or the user viewing the Org Chart doesn't have permission to see department information, it will not display)
VIEWING DIRECT REPORTS
The cards of any employees who have direct reports will include the number of direct reports in the lower right corner of the card.
Clicking the number will expand and create a new branch of the Org Chart to display the direct reports under that employee.
The Org Chart will immediately re-center to focus on the specific employee population you've expanded. You can collapse the new branch of the Org Chart by clicking the number on the team leader's card again.
MOVING AND ZOOMING IN AND OUT OF THE ORG CHART
You can move the Org Chart by using your cursor to drag it across the screen. The map in the lower right of the screen will show what is visible on your screen in relation to the rest of the expanded Org Chart.
You can zoom in or out of the Org Chart by using pinching gestures on your trackpad or mouse, or by clicking the magnifying glass at the top of the chart.
FINDING A SPECIFIC EMPLOYEE
Use the search bar to find a specific employee's position in the Org Chart. The chart will automatically expand re-center to focus on the employee's place in your organizational structure.
WHO IS VISIBLE IN THE ORG CHART
Namely's Org Chart is populated with employees who are marked as active. This includes:
-
Employees with future start dates but still in an active status
-
Employees on leave but still in an active status
-
Employees with a termination date but still in an active status
UNASSIGNED EMPLOYEES
Employees who do not report to another worker at your organization will display on the left side of the Org Chart as Unassigned Employees. Once they are assigned to a manager, they will be shown in the Org Chart.
FUTURE ENHANCEMENTS
Future enhancements to the Org Chart we are actively working on include:
-
The ability to download PDFs or other image files of the entire org chart, or only specific sections of it, in orientations of your choosing.
-
Additional options for how you want to view your org chart
-
More detailed profile cards
-
